Purpose
As a broker you can open a client's employer account and work in it much as their own administrator would: managing employees, users and documents, servicing their benefits and, for partners who provide payroll services, running payroll for them. Some actions, though, are off for brokers unless someone has turned them on. This article explains the three things that decide what you can do in a client's account, so you know where to go when an option is missing.
Who this applies to: agency users, brokers and account managers, for the clients they can see.
When to use this
- You are about to work in a client's account for the first time.
- A client asks you to do something (void a payroll, change their bank account, manage expenses) and you cannot find the option.
- You are deciding whether to handle a task yourself or have the client's own administrator do it.
What decides what you can do
Three layers apply, in this order:
- Your broker-side role. Agency users see every client in the agency. Brokers see their own clients. Account managers see the clients of the brokers they are linked to. See Adding Account Managers.
- Your platform's broker switches. A small set of sensitive payroll and finance actions are off for brokers by default. Only UZIO can switch them on, and a switch applies across your platform.
- Your client's own preference. Each client decides whether their broker may use their HR modules.
Note: If your firm provides payroll services, layer 2 is the one to check first. Voiding or cancelling a payroll, approving bank account changes and editing tax exemptions all sit behind these switches, so ask UZIO Support which are on for your platform before you promise a client you can do them.
What you can do in a client's account
These are available to brokers without any extra switch:
- Act on behalf of an employee. Open an employee's own view to complete a task for them. This works whether the client is live, partially live or not yet live.
- Manage employees. Search employees across the clients you can access, and use the Action(s) menu on an employee's profile. Payroll actions appear only when you are in the payroll section of the profile.
- Look up and change employee usernames through Login Accounts. See Viewing and Editing Employee Usernames.
- Manage the client's users, including handing over the Employer Administrator role when the client's administrator has left. See Managing Users and Roles.
- Share documents from your broker document library into the client's library. See Sharing Signable Documents With Your Clients.
Actions that need a platform switch
These are off for brokers by default. If your agency needs one, UZIO switches it on for your platform.
| Action in the client's account | Without the switch |
|---|---|
| Void a payroll | You do not see Void Payroll. The client requests the void from UZIO Support. |
| Cancel a payroll | Not available to brokers |
| Edit or approve the client's company bank account details | Not available to brokers |
| Edit the client's federal and state tax exemption details | Not available to brokers |
| Use the payroll tax-filing and ACH file dashboards | Not available to brokers |
| Open Expense Management | The Expense Management pages do not open for brokers |
Warning: Voiding or cancelling a payroll reverses money movement and has tax consequences for your client. Even where the switch is on, confirm with the client in writing before you do it. For how voids work on the employer side, see Reviewing Past Payrolls and Requesting a Void.
Your client's HR-access preference
On the client's side, Settings > Preferences has a switch: Allow your broker to use the Time Off, Schedule, Time Tracking, Projects and Jobs, and HR Features? Only the client's administrator can change it. If it is set to No, those modules are closed to you in that client's account. See Managing Employer Preferences.
DSP note: Users of the Amazon DSP program who reach Delivery Service Partner (DSP) accounts through the Broker Portal have view-only access. They can open and view a DSP's account but cannot make changes there.
Common problems
I can't see the Void Payroll option
Brokers see it only when UZIO has switched on broker void access for your platform. Without it, your client asks UZIO Support to void the payroll. If your agency needs the switch, contact UZIO Support (below).
I can't open Time Off or Time Tracking for one client, but I can for others
That client has set Allow your broker to use … HR Features? to No in their preferences. Ask the client's administrator to change it if they want your help there.
Expense Management won't open for any of my clients
Broker access to Expense Management is off for your platform. It is a platform-wide switch that only UZIO can change. Your clients' own administrators can still use Expense Management.
An account manager can't see a client I can see
Account managers see only the clients of the brokers they are linked to. Link them to the right broker. See Adding Account Managers.
Still stuck?
To ask for a platform switch, or if an action is missing that this article says you should have, please reach out to us at support@uzio.com or call +1-571-601-1752. Send your agency name, the client's company name, the action you need, and a screenshot of the screen where you expected it. For a switch request, say who in your agency approved it.
