Sharing Signable Documents With Your Clients (Broker Document Library)

Purpose

Your broker document library is your own set of documents, separate from each client's library. Add a document once and share it with some or all of the employers you manage, instead of uploading it into every client's account. It suits the forms you use across your book of business: benefits acknowledgements, enrollment forms, questionnaires.

Since September 2026, documents in your library are signed with UZIO Sign, UZIO's built-in e-signature. You place signature and data fields on the PDF, and employees sign inside UZIO.

Who can do this: agency users, brokers and account managers.

When to use this

  • The same document is needed at several of your clients.
  • A form collects information the employer should not see, such as a health questionnaire. You can hide it and its completed responses from the employer.
  • You want a document signed electronically, with employee details filled in from their profile.

If a document is specific to one client's own policies, the client can add it to their own library instead. See Managing the Document Library.

How sharing works

  1. You add a document to your broker library and configure its fields.
  2. You share it with the clients who need it.
  3. A copy appears in each of those clients' own document libraries.
  4. The document is assigned to employees, who complete and sign it in UZIO.

Your original stays in your library, so you can share it with more clients later.

Add a document

  1. Open your Document Library on the Broker Portal.
  2. Click Add Document and upload a PDF. Only PDF files are accepted, and password-protected or encrypted PDFs are rejected.
  3. Give the document a name and description that an employee will recognise.
  4. Choose whether to hide the document from the employer (see below).
  5. Configure the fields on the Configure Fields screen, then save.

The fields you can place

Auto-filled details (for example name, address, job title)UZIO, from the employee's profile. Read-only for the employee.

These are the only field types. There are no separate Initials, Name or Radio fields; a name is placed as an auto-filled detail. The field set and the signed result are the same for broker documents.

When everyone has signed, the document becomes a signed PDF carrying a Document ID and an audit trail showing who sent, viewed and signed it, with timestamps and IP addresses.

Hiding a document from the employer

Some forms collect information the employer should not have. When you hide a document:

  • The document and every completed copy are hidden from the client's employer users.
  • Only you (the broker side) can assign it to employees.
  • Only you can download the completed forms.

Choose this when you add the document. You can hide or unhide a document later from your Document Library.

Warning: Hiding is about the employer's view. It is the right choice for health and other sensitive answers, but it also means the employer cannot chase employees who have not completed the form. Plan to follow up yourself.

Share the document with clients

Share the document with some or all of the employers you manage. Each client you pick gets a copy in their own library. To add clients later, share again from your library.

Note: Once a document has been shared, check the client's copy before you rely on it. If you change your original, share it again with the clients who need the new version, and confirm with the client that the updated copy is the one being assigned.

Collect completed documents

When an employee submits a document, UZIO emails you A Document has been signed, with a link to your document dashboard. From there you can check whether anything else is needed and download the completed document. For hidden documents, this is the only place completed forms can be downloaded.

Documents you set up before UZIO Sign

UZIO Sign replaced the previous signing tool, Dropbox Sign, in September 2026.

  • Documents already sent to employees through Dropbox Sign finish there. Nothing needs to be re-sent.
  • Completed documents stay available to download.
  • Broker library documents set up in the previous tool are archived. They can no longer be edited or shared with more clients. To share one using UZIO Sign, add the PDF again as a new document and configure its fields.

Common problems

A document I shared doesn't appear in a client's library

Check that you shared it with that client specifically, not just added it to your library. If it was shared and is still missing, check whether it is hidden from the employer: hidden documents do not show to the client's employer users at all.

I can't edit or share one of my older documents

It was set up in the previous signing tool and is archived. Add the PDF again as a new document to share it with UZIO Sign.

A colleague in my agency can't see a document I added

Your platform can be set so that a broker document is visible only to its owner. If that setting is on, colleagues do not see documents you added. Contact UZIO Support to check how your platform is set.

Can an employee decline a document?

No. Custom documents have no decline option. A document the employee does not sign stays pending.

The client says they can't see the completed forms

If you hid the document from the employer, that is expected: only you can download completed copies. If they need them, download and send them through a secure route you both agree on.

The PDF won't upload

Only PDFs are accepted, and the file must not be password-protected or encrypted. Save an unprotected copy and upload that.
