Adding Account Managers to Help Service Your Clients

Modified on Sun, 27 Sep at 9:15 AM

Purpose

An account manager helps with the day-to-day work on your clients. They can do almost everything a broker can for the clients they can see, which frees brokers to focus on relationships and sales. Account managers can work for one broker, several brokers, or the whole agency.

Who can do this: agency users and brokers (including sales reps). Account managers cannot add other account managers.

What an account manager can see and do

  • They work on the clients of the brokers they are linked to, and on clients they add themselves.
  • An account manager who is not linked to any broker works for the agency as a whole.
  • They can do nearly every task a broker can, including working inside a client's account on the client's behalf.
  • They cannot add other account managers.

Add account managers

  1. From the global menu, click Manage Account Managers.
  2. Click Add Account Managers.
  3. Choose how to add them:
    • Upload Template for several at once. Download the template, fill in every column marked with an asterisk, click Validate Data, then save and upload.
    • Enter Manually for one or two. Enter their personal and contact details and click Save.

If you are an agency, you also choose who the account manager works for. Enter a Broker NPN or a Sales Rep ID under the associated broker information (one disables the other). Leave it blank and the account manager works for the agency. In the template, a blank Broker NPN has the same effect.

If you are a broker, the account manager you add is linked to you.

Each new account manager receives a Welcome to email with a link to complete their registration. When they register, the agency is notified.

Manage account managers

Search the list by name, email or contact number. The actions you see depend on your seat.

As an agency

ActionWhat it does
ViewTheir details, including the brokers they are linked to
EditUpdates their details
DeleteRemoves the account manager
Send Registration LinkResends the registration email to someone who has not registered
Submit Password Reset RequestSends a registered account manager a password reset
Assign to Broker(s)Links them to a broker. Click Assign next to each broker or sales rep they should work for. Once assigned, the icon changes to Remove.

To unlink an account manager from a broker, open Assign to Broker(s), click Remove next to that broker, and confirm. They lose access to that broker's clients straight away.

As a broker

ActionWhat it does

DeleteAvailable only when the account manager works for you alone
DisassociateAvailable only when they also work for other brokers. They lose access to your clients but keep working for the others.

Common problems

Why is Delete greyed out?

The account manager also works for another broker, so deleting them would cut off that broker's help too. Use Disassociate instead. It removes only your clients from their view.

An account manager says they can't see one of my clients

Check which brokers they are linked to. They see the clients of those brokers only. If the client belongs to a different broker in your agency, that broker or the agency needs to link them.

I removed an account manager, but they still work for us on another broker's clients

That is expected after a disassociation or a removal from one broker. To take away all access, the agency deletes the account manager.

They registered but can't reset their password

Submit Password Reset Request appears only after the account manager has registered. Before that, use Send Registration Link.
