Setting Up 2-Step Verification (2FA) on the Web

Modified on Sat, 24 Oct at 7:07 PM

Purpose

2-Step Verification (also called Two-Factor Authentication or 2FA) adds a second check at login: your password plus a six-digit code from your phone. It protects the payroll, Social Security numbers, and bank details your account can reach. 2-Step Verification is required on UZIO accounts. Amazon DSP platform accounts are currently excepted. Set it up as soon as you register.

Who this is for: every UZIO user who signs in on the web: Employer Portal users, brokers and partners, managers and employees.

Which article do I need?

You set up 2-Step Verification once, for your UZIO login. It then works everywhere you sign in: the Employer Portal, the Broker Portal, the Employee Portal and the UZIO mobile app.

  • On the web (every UZIO user): this article.
  • In the UZIO mobile app (employees and reporting managers, including anyone who is also an administrator or manager): see Setting Up 2-Step Verification in the UZIO Mobile App. If you only use the Employer Portal or the Broker Portal, set it up on the web.

What you'll see

Your situationWhat happens
You are new to UZIOAfter you register and sign in, UZIO asks you to set up 2-Step Verification if your account requires it. Until you do, payroll, time and company screens do not open.
You already use UZIO, and 2-Step Verification has just been required for youNothing changes until your next sign-in. Then UZIO asks you to set it up before those screens open. Your username and password stay the same.
You have already set up 2-Step VerificationNothing changes. Enter your code when asked. Setup done on the web also works in the mobile app, and the other way round.
2-Step Verification is not required for youYou are not asked, but you can still turn it on under Account Information. UZIO recommends it.
You manage employees who must use itYour company's setting decides whether employees must set it up (see Managing 2FA). Employees can set it up on the web or in the app. A shared time kiosk is not affected: employees keep using their kiosk PIN.

Before you start

  • Decide on a method. An authenticator app works without mobile signal and is the recommended option. Text message (SMS) needs a phone number that can receive texts.
  • Have your phone with you. Setup takes about two minutes.

Set it up

  1. Log in to UZIO. If UZIO asks you to set up 2-Step Verification, follow the prompts. Otherwise, open your profile menu (top right) and choose Account Information.
  2. Select the 2-Step Verification tab.
  3. Re-enter your login credentials to confirm your identity.
  4. Pick a verification method.

Option A: Authenticator app (recommended)

  1. Install any authenticator app that supports time-based codes, for example Google Authenticator or Microsoft Authenticator.
  2. In the app, scan the QR code UZIO displays.
  3. Enter the six-digit code the app shows and click Verify Code.

Need help with your authenticator app? The app makers explain how to add an account by scanning a QR code or typing a key: Authy: add a new account and Microsoft Authenticator: add other accounts. In Google Authenticator, tap + and choose to scan a QR code or enter a setup key.

Option B: Text message (SMS)

  1. Select Text Message.
  2. Choose your country code, enter your mobile number, and click Send Code.
  3. Enter the six-digit code you receive to confirm the number.

What happens next: from your next login, UZIO asks for a code after your password. Tick Remember this browser for 30 days to skip the code on a computer only you use. Never tick it on a shared computer.

Before you lose your phone

If you lose access to your 2FA method, you cannot sign in until someone resets it for you (see Common problems). Reduce the risk now:

  • If you change phones, open Account Information > 2-Step Verification > Change on the old phone first and enrol the new one.
  • If you use SMS and your number is changing, update it the same way before the old number stops working.
  • If your authenticator app supports cloud backup, turn it on.

Managing 2FA

  • Change method or device: Account Information > 2-Step Verification > Change, then follow the prompts.
  • Remove 2FA: not available on standard accounts, because 2FA is required. On Amazon DSP platform accounts, which are currently excepted, Account Information > 2-Step Verification > Remove is available. UZIO strongly recommends keeping it on.
  • Require 2FA for all your employees: the Employer Administrator controls Enforce 2-Step Verification for all employees? under Settings > Preferences. UZIO switched this on for every existing company when the requirement was introduced. Check it is still on, and use it if your account is not covered by the platform-wide requirement. See Managing Employer Preferences.

Reset 2-Step Verification for someone else

When an employee or another employer portal user has lost the phone they use for 2-Step Verification, the Employer Administrator can reset it so they can set it up again.

Who can do this: the Employer Administrator.

  1. Find the person:
    • For an employee, go to the Employees list.
    • For an employer portal user, go to Manage Users.
  2. Open the actions menu on the person's row and choose Login Accounts.
  3. Reset their 2-Step Verification.

What happens next: UZIO emails the person with the subject Your 2-Step Verification has been reset. If your company requires 2-Step Verification, UZIO asks them to set it up again the next time they sign in. Tell them to have their new phone ready.

Tip: Only reset 2-Step Verification when the person has asked you to, and confirm the request really came from them, for example by speaking to them directly. A reset removes a protection on their account until they set it up again.

DSP note: For Delivery Service Partner (DSP) accounts on the Amazon platform, 2FA is currently optional at the platform level, so the Remove option is available and the Settings > Preferences toggle is how a DSP can require it company-wide.

Mobile

Employees and reporting managers can set up 2-Step Verification in the UZIO mobile app as well as on the web. If their company requires it, the app asks them to set it up when they sign in. It is the same setup: whichever they use, the code then works in both. For the in-app steps to send to employees, see Setting Up 2-Step Verification in the UZIO Mobile App.

Common problems

I've lost my phone, or I have a new phone and didn't move the authenticator

First, try a browser where you ticked Remember this browser. It may still let you in; if it does, open 2-Step Verification > Change and enrol your new phone.

If that does not work, ask your Employer Administrator to reset your 2-Step Verification (employees can ask their HR team). You receive an email confirming the reset, and you set up 2-Step Verification again with your new phone the next time you sign in.

If you are the Employer Administrator and no one else at your company can reset it for you, go to Still stuck? and include the details listed there.

The authenticator code is rejected

Time-based codes depend on the phone's clock. In the phone's settings, set date, time, and time zone to automatic, then try the next code. Enter the code within its 30-second window.

The text message never arrives

Check the country code and number under 2-Step Verification. Make sure the phone has signal and is not blocking unknown senders. If SMS is unreliable where you work, switch to an authenticator app with Change.

I ticked "Remember this browser" but I'm asked for a code every time

The browser must keep its cookies. Private or incognito windows, a cleared cache, and some corporate browser policies drop the remembered state. Use a normal window on the same computer.

An employee asked me to remove their 2FA

You cannot switch 2FA off for someone on a standard account, because it is required. If they have lost or replaced their phone, reset their 2-Step Verification instead, as described in Reset 2-Step Verification for someone else. They set it up again at their next sign-in.

Still stuck?

UZIO Support can help when you are the Employer Administrator and no one else at your company can reset your 2FA, or when a problem above is not solved. Please reach out to us at support@uzio.com or call +1-571-601-1752. Include your username (login email), your company name, which method you had enrolled (app or SMS), and what happened (lost phone, new phone, number changed). UZIO will verify your identity before changing anything. Do not send your password.
