Changing a Proposal After It Has Been Shared

Purpose

Plans get added, rates change, and a client decides mid-year to contribute more. You do not have to cancel and rebuild a proposal to make these changes. Edit lets you change a proposal that is shared, approved, or published. What each change does to employees depends on when you make it: before open enrollment, during it, or after coverage has started. This article covers each change and its consequences.

Who can do this: the client's broker, their agency, and account managers linked to that broker. Your client can view the proposal but cannot change it. Changes they want come to you.

Open the proposal for editing

  1. Go to Proposals and click the Edit icon on the package. Or open the client's page and click Edit in the proposals and enrollments section.
  2. Click Continue.

You can edit a proposal whose status is Sent for Exchange Approval, Approved, or Published.

Add a benefit

  1. Choose the product category and set its open enrollment window. The new benefit's coverage start date can be in the past, but not earlier than the first benefit's effective date.
  2. Set its waiting period and contribution.
  3. Choose the plans, review, and complete.

Employees see the new enrollment on their dashboard once it is shared.

Change a waiting period

Before open enrollment, change it freely. After coverage has started, the change applies at benefit level only, to new hires only, from the change onwards. Employees already enrolled keep their dates. You cannot change the default new-hire waiting period.

Tip: Download the list of impacted employees before you submit, so you can tell the client who is affected.

Add or remove plans

  • Add: use Add to Cart. If coverage has already started, employees are not moved automatically. Enroll those who want the new plan on their behalf.
  • Remove: use Remove from Cart. During or after open enrollment, affected enrollments are marked System Declined. After coverage starts, enrolled employees are cancelled once the plan is removed. Warn the client before you do this.

Change contributions or rates

Use Refine contribution values, or Edit Contribution on the review page. Rates change from the plan's rate setup.

  • Before open enrollment: no impact on anyone.
  • During or after open enrollment: UZIO flags the impacted employees (download the list) and updates the premium in each one's latest enrollment only.

Warning: Paychecks already processed are not corrected. If your client runs payroll in UZIO, send them the impacted-employee list so their payroll administrator can review those deductions. Your client's side of this is described in Viewing Your Benefit Proposals.

Add a class

Use this, for example, when a company your client acquired joins its benefits. Classes can be added before open enrollment, or after the proposal is published, but not while open enrollment is running. After adding the class, assign plans to it. See Creating and Managing Benefit Classes for a Client.

Extend open enrollment or align coverage dates

  • Extend open enrollment: open the enrollment period with the calendar icon, choose the new end date, and click Apply. For an approved package you can extend up to the first benefit's coverage effective date. UZIO emails you "Open enrollment period updated" with the new window.
  • Align coverage end dates: open the proposal, click View on the coverage periods, then Edit, and align one benefit's end date to another's (for example, vision to medical). Save.

Note: If your client changes the open enrollment dates from their side, UZIO emails you: "Employer client has changed the open enrollment period…", with the revised dates.

When to reject instead

Reject stops a package that is ready to publish, sent for approval, or published. Use it when a package has gone badly wrong, for example very low enrollment on a flawed setup, and starting clean is simpler than a string of edits. A rejected package can then be deleted or cloned as the basis for a new one.

Common problems

Employees on a removed plan now show System Declined. That is the expected result of removing a plan during or after open enrollment. Enroll them in another plan on their behalf, or reset their enrollment so they can choose again.

I changed a rate, but an employee's paycheck deduction did not change for past pay periods. Past paychecks are never corrected automatically. The client's payroll administrator must adjust them.

I can't add a class. Open enrollment is running. Wait until it ends and the proposal is published.
