The UZIO Mobile App has also been updated in this release with time tracking enhancements. Employees will have access to the new version of the UZIO Mobile app by October 24th, 2023. Users who have enabled auto-update will see the new features automatically on the date, while other users will be required to update the mobile app before use.

UZIO Payroll Enhancements
W-2 Distribution Method
We are excited to introduce a new feature for our payroll customers, granting you more control over the W-2 distribution process. You can now choose your preferred method for managing W-2 printing and delivery for the year 2023 and beyond. Your options include:
- Download W-2, print, and mail forms on my own (Default Option)
- Have UZIO print and ship them to the Company Address
The default selection will assume that you will handle the printing and mailing process in house. If you want UZIO to print and ship then you must save your preference.
To update your preference, please log in to the portal, go to Payroll, then navigate to Tax Documents & Settings, and select Distribute Forms W-2s.
To ensure that your choice is implemented effectively, it is important that you make your selection by the deadline of November 30th, 2023.

Year End Processing Enhancements
To make the year-end process smoother, we've introduced new features to provide you with the information you would need.
Employees W-2 Forms (Preview Copy)
Going forward, a preview of employee W-2s will be available year-round to employers. Each page of the preview copy will have four blocks where one block will correspond to one employee W-2 preview copy. Employers can use this information to review and correct discrepancies on an employee's W-2 in a timely manner.

Once the W-2’s are finalized by the payroll system a consolidated final copy of all employee W-2s form will be made available between January 15th and 31st and the status “Preview” will be changed to “Final”. The electronic copy will also be available for download under the employee account during this period.

Email Notification
Once the final copies become available to employers, employees will simultaneously have access to the electronic version in their accounts. We will notify employees via email as soon as the copy is available.

Download W-2, print, and mail forms on my own
The final W-2 forms will be available for your printing by mid-January in the "Tax Forms" section. If you have opted to print in house, then you download the copy and print them on standard white printer paper (8.5" x 11") and use a size 5 5/8" x 9" envelope for mailing to employees. You can purchase these envelopes from Amazon, Greatland, Printez or any other provider of your choice.
Once you click download the final copy, you will get the option to either include employees who have opted to receive paper copy or include only those employees who have opted for electronic copies only or both.

Block FIT and SIT Withholdings
Previously, the option to block FIT and SIT taxes when necessary was available in the employee profile. However, it was a bit inconvenient to update, run payroll, and then revert the change, as it mostly needed to be updated only once.
With this product update, a new feature has been added to the pay run workflow, allowing you to block FIT and SIT taxes when needed for a one-time occurrence. Furthermore, you now have the option to override the tax with a one-time amount. Whether you need to block the tax for all employees or specific individuals, both options are available.

Enhancements in Contractors Management
We have made the following two enhancements in our contractor management feature:
Deletion of Contractor
You can now delete a contractor if no payments have been recorded in the system. This option will be available in the Actions of contractor listing.

Contractor Prior Payments
You can now record payments made to your contractors before onboarding them on UZIO. The system will include these payments when generating 1099 forms.
UZIO HRIS Enhancements
Background Checks in Partnership with Checkr
Uzio has partnered with Checkr to provide its customers a seamless background verification experience for employees and potential candidates to make right hiring decisions and stay compliant.
A customer can use their existing Checkr’s account or sign up for the new one while creating a connection with Checkr app available on the Integrations page.

Once your account is successfully credentialed by Checkr your connection status will change to Connected and you are all set to raise a background verification request. You can raise background verification requests in UZIO from two places.

It is available under HR Tools in the left vertical menu. This is a central page to see and manage all background checks requests, you can easily conduct background checks for your existing and any new potential hire.

When adding a prospective employee, you will get an option to initiate the background verification. If not ready, this can be done later through the “Background Checks” page from the left menu.

Copy/Transfer Employees between linked companies
Employers in the retail business have multiple stores with different Employer Identification Numbers(EIN). Some employees work at multiple stores or move to different stores. Previously, employee transfers between linked companies were a manual process, requiring the termination of an employee in one company and their manual addition to another. This led to challenges on the benefits side, the Brokers/Employers had to go through various operational steps to ensure coverage does not get terminated with the carrier or cobra shouldn't kick in. Additionally, an employee working at multiple locations was required to be manually added into the other EIN setup.
With the latest release, we have introduced a dedicated feature and created a workflow for copying or transferring employees between interlinked companies. This enhancement is designed to make the process fast and seamless. It automatically duplicates personal information, including addresses, family details, contact information, as well as any other employee information that can be transferred, such as Direct Deposit information and Tax withholding information.

This new workflow makes things easier on the benefits side as well. Users can now choose whether to copy employee benefits to the new company, with options for automatic enrollment by the system or enrollment via an opportunity during the copy process. The same choices for benefits enrollments are also provided within the transfer process.

Project or Job based Time Tracking
Many service-oriented employers generate their revenue based on the hours worked by their employees at customer worksites. We are pleased to inform you that 'Project and Jobs' is a new feature introduced with this release. It facilitates the organization of your customers, their worksite locations, and the employees assigned to these locations. This feature enables you to efficiently manage multiple projects by allowing you to create new projects, add jobs for each project, and assign projects to your employees.

You can now add and manage customer information within the platform. Easily create and edit customer profiles to keep track of your clients and their specific information.

Create projects and work sites for your customers. This streamlines your project management by organizing customer work locations into distinct projects, simplifying time tracking. Projects can include specific addresses, allowing for geofencing. These projects may encompass smaller jobs with their individual pay rates and the ability to assign them to employees.

Track time effortlessly on assigned projects and jobs. Employees can record hours worked, allowing for accurate timekeeping and client billing .
Note: Moving forward, clients who are already using the jobs functionality will see the jobs previously created under the new section called 'Projects and Jobs' at home.
