UZIO Payroll Enhancements
Pay Multiple Contractors Together
UZIO has simplified the contractor payroll process for employers by allowing them to pay multiple contractors at once. There is no need for employers to pay their contractors separately. Rather, employers can now select and pay as many contractors as needed in one go using a new grid-like interface, similar to employee payroll. For busy employers who have multiple contractors to manage, this feature makes the process streamlined and time-saving.
Workers’ Compensation Summary Report
Previously, the UZIO payroll system calculated the workers' compensation premium along with each payroll run if the codes were set up and assigned to the employees. With this product update, this will no longer be the case. We have decoupled the workers' compensation premium calculation from payroll and made it a part of the report.
A new "Workers' Compensation Summary Report" in PDF format has been added that will show the eligible wages and premium for any period using the workers' compensation setup and approved payrolls. Here are some key points to note about the report:
- This report will be helpful to you during a workers' compensation audit. You can use the same report to obtain premium information for a single pay period or for a pay date range.
- If the workers' comp is incorrectly set up for an employee or the rate is incorrect, you can make edits and rerun the report.
- You can choose to exclude Cafeteria Plan deductions from the eligible wage calculation. This is relevant to employers based in California; however, we recommend consulting your workers' compensation provider.
To run the report, go to Reports section> Payroll Reports > Workers’ Compensation Summary Report
Unpaid Time Off Hours Sync to Payroll - Update to Reports
In February of this year, we added functionality that approved unpaid time off hours will now be automatically synced to payroll. However, at that time, the reports were not updated to show the unpaid hours in payroll reports or employee pay stubs. To learn more about this feature and the setup details, please click here. With this product update, the unpaid hours will now be reflected on paychecks and other related reports.
Enhancement in Payroll Allocation and Time Off Report
Both reports have been updated to enable the users to run for specific employees or employees. This change not only allows you to obtain the desired report but also improves performance by providing output more quickly.
Protecting ACH Processing Errors Due to Incorrect Routing and Account Numbers
Clients who use Zoho Recruit as their ATS and have integrated it with UZIO will benefit from the latest enhancement to the UZIO system, which ensures that routing and account numbers from Zoho are in the proper format. In case either or both of these numbers are incorrect for any employee, the system will not permit payroll processing unless the numbers are corrected. This will help proactively identify and eliminate issues with direct deposit.
Full Home Address is Mandatory for Payroll Processing
UZIO's latest product update now mandates the provision of employees' home addresses for accurate tax calculation. The system will not allow payroll processing for any employee with an incomplete home address.
UZIO HRIS Enhancements
Custom User Roles and Permissions
Previously, user access was limited to predefined roles and permissions. This meant that new users were given access to predefined role permissions and admins did not have the way to customize their access. We have heard a lot of feedback around this from various customers to address the following concerns and many more:
- Managers should not have access to other manager salaries or employees' sensitive information.
- Managers should be able to see more information about their direct reports, including pay rate and PTO information.
- An operations manager should be able to upload employee documents without seeing salary information.
- Access to Uzio should be limited for certain employees, with payroll-related information being restricted.
- A new user role has been added that allows for timecard adjustments and time off approval without access to sensitive information.
- Department managers can see and make corrections to hours and approve time off, but cannot access sensitive employee information.
-
Payroll reports are available at the department level to ensure owners can see and run their reports without access to other department information.
We are excited to announce that UZIO has introduced a new feature allowing employer administrators to customize user access and restrict employee information accessibility within the employer portal. This enhancement allows for the creation of custom roles, giving employers the flexibility to personalize feature access and employees information access.
Your current users will maintain their existing permissions. However, with this new feature, you now have the ability to set granular-level permissions for the assigned role if necessary. You will notice that the 'Manage User' section has a new layout.
What has changed with this new functionality?
Manage Users
In the Manage Users section, roles are now divided into two categories:
Standard Roles: It contains two roles i.e., Employer Administrator and Reporting Manager.
- Employer Administrator: This role can be only one per company or linked companies. The Employer Admin is the primary admin who has full access to everything on the company account, including the ability to add, remove, or modify permissions and users.
- Reporting Manager: The reporting manager oversees the work of a group of employees, also known as direct reports. By default, this role only has limited permissions to access employee-level information, such as the ability to view the list of direct reports, approve and edit timesheets, and approve or deny PTO requests. However, going forward, the employee-level permissions can be modified as needed.
Custom Roles: It contains five default custom roles i.e. Payroll Admin, Benefit Admin, HR Admin, Payroll Support, and HR and Benefit Support. These are previously existing roles now with the added flexibility to change, delete, or update permissions as required.
Custom Roles
You can now create any number of custom roles and define permissions.
One user can have multiple roles
The user can be assigned multiple roles and the permissions will be governed based on the roles assigned to them.
Reporting Managers
When an employee becomes a Reporting Manager, they are added to the Manage Users list under the 'Reporting Manager' role, whereas previously they were not listed anywhere. This change enables employer admins to grant additional permissions if needed. For example, previously, reporting managers were only able to view the list of direct reports, approve and make timesheet edits, and approve or deny PTO, which are default permissions for the Reporting Manager role. However, with the added visibility and flexibility, reporting managers can now perform additional tasks if permissions are granted.
Reporting Managers (My Team Section)
Managers who previously managed their teams through the employee portal will now do so through the employer portal. All team management, timesheet approvals, and PTO approvals will occur on the employer portal going forward. However, reporting managers can still access the employee portal for their individual employee accounts if needed.
Switch to Employee or Employer Account
If you have both an employee portal user account and an employer portal user account, you no longer need to log out of one portal and log in to the other separately. Previously, you had to log out of one portal and then access the other portal and log in again. But with our new feature, you can easily switch between your employer and employee accounts without logging out of either portal.
Same login credentials
Employers and employees who are common users of the portals can access the same login credentials to access their respective accounts and can also switch between them as explained in the previous point.
Roles are repeated
You may see that Custom roles are also repeated, as shown in the image below. The reason for this repetition is that existing users with different permissions, either based on the company in the case of linked companies or based on work location, have been transitioned to their own role with this new functionality.
You can Click on the View Access to check out the Company Level Access and Employee Level Access under this role.
Similarly, If you are a client with multiple FEINs, you may notice that the same reporting manager roles are repeated under the standard roles on this page. Each role represents the reporting managers of a specific company. Click on the role to see the reporting managers for that particular company.
